Set up an online booking link showing your open times, and send it whenever someone wants to schedule a call or appointment.

A potential client wants to talk. You suggest Tuesday at 2. They can’t do Tuesday. They suggest Wednesday morning. You have a call then. You offer Thursday. They don’t reply for a day. By the time you settle on a time, five emails have gone back and forth over three days, and sometimes the client loses interest before you ever speak.

Scheduling by email is one of the most common small time drains in a service business. It also slows down your sales at the exact moment a potential client is most interested.

Why it works

A booking link removes the back-and-forth entirely. The client sees your available times and picks one in a few seconds, whenever it suits them, even at 10 p.m. on a Sunday.

It catches clients while they’re still interested. When someone reaches out, the faster they can get on your calendar, the more likely they are to follow through.

And it protects your schedule. You decide which times are available, so calls land only where you want them. If you group calls on certain days, the booking link keeps them there automatically.

How to run it

Pick a booking tool. Many inexpensive or free tools connect to your calendar and show only the times you’re free. Some calendar and payment apps include booking pages already.

Set your available hours. Choose the days and times you want to take calls. Add buffer time between appointments so you’re not running from one straight to the next.

Create a few call types. A short intro call for new inquiries, a longer working session for current clients. Each can have its own length and available times.

Ask a couple of questions. Add one or two short questions to the booking form, like what they’d like to discuss, so you come to the call prepared.

Send it everywhere. Put the link in your email signature, on your website and in your saved replies.

I’d love to talk. Here’s my calendar. Pick any time that works for you, and you’ll get a confirmation with the call details.

Turn on reminders. Most tools send automatic reminders before the appointment, which cuts down on no-shows.

The mistake most people make

Showing every open hour. If your calendar is fully bookable, your focused work time disappears into calls. Offer only the windows you actually want to use for meetings. The other mistake is sending the link without a personal word. A short, friendly line before the link keeps it from feeling like you’ve handed them off to a machine.

Do this today

Choose a booking tool and connect it to your calendar. Set the days and hours you want to take calls, add buffers between them, and create one intro-call type. Then add the link to your email signature and use it the next time someone asks to talk.
